How we handle the personal information you give us when you ask for a quote, book a job or send us a message.

Who we are

FixMove does removals, flat pack assembly, TV and wall mounting, handyman, painting, plastering, tile repair and garden jobs in Sydney, Melbourne and Brisbane, Australia. In this policy, “we”, “us” and “FixMove” mean Reboot Decorating Pty Ltd (ACN 663 037 572, ABN 30 663 037 572), the Australian company that operates FixMove in Australia.

This policy covers the personal information we collect through this website, by phone, SMS, WhatsApp and email, and while we do your job. We handle it in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

This policy covers FixMove in Australia only. It doesn’t cover FixMove in Singapore, which has its own website at fixmove.sg.

You can ask general questions, such as how our prices work, without giving your name. To quote for a particular job or to do it, we need your contact details and the job addresses.

What we collect

We collect only what we need to quote, book and do your job. Most of it comes straight from you.

When you ask for a quote or book a job

  • your name, phone number and email address
  • the pick-up, drop-off or job addresses, or just the suburbs
  • your preferred date and time
  • access details, such as stairs, lifts, parking, loading docks and building rules
  • what needs moving or doing, including any photos or videos you send us

When you call or message us

Your phone number or email address, your messages and when you contacted us. If you use WhatsApp, we also see the name and profile photo you’ve set there. We don’t record calls.

While we do the job and afterwards

  • start and finish times, and any changes you agree to on the day
  • invoices and payment records, such as the amount, date, payment method and reference
  • notes about any damage, complaint or claim

If you pay by card, the payment is processed by the bank or payment service, and we don’t ask for or keep your full card number.

When you use this website

There are no accounts or logins. The price estimator and the quote form work inside your browser. What you type isn’t sent to us or stored on this website. Pressing a send button opens your own WhatsApp, SMS or email app with the message filled in, and we only receive it if you send it from there.

Like most websites, our web server and our security provider automatically record technical details of each visit, such as your IP address, browser and device type, the pages requested, the page you came from, and the date and time.

Information we don’t ask for

We don’t need sensitive information, such as health details, to do our work. If you tell us about a health or mobility need so we can plan a move around it, we’ll use it only for that job and only with your agreement.

Please try not to send photos that show people, ID cards, mail or other documents. If we receive information we don’t need, we delete it or remove the details that identify you, where it’s lawful and reasonable to do so.

If you give us details about someone else, such as a building manager or the person meeting our crew, please let them know and point them to this policy.

Why we collect it and how we use it

We use personal information to:

  • work out your price and confirm it in writing
  • book and schedule the job, and send you reminders about it
  • plan the crew, the vehicle and access on the day
  • contact you before and during the job
  • invoice you, take payment and keep the business and tax records the law requires
  • answer questions and deal with complaints, damage or claims
  • compare our estimates with real job times, using records with names removed
  • keep this website secure and working
  • send you offers, but only if you’ve agreed (see marketing and unsubscribing)

We don’t use your information for unrelated purposes unless you agree, or the law requires or allows it. If you’d rather not give us some details, tell us. We may still be able to help, but we might not be able to quote accurately or do the job.

Automated decisions

We don’t use computer programs to make decisions about you that significantly affect your rights or interests. The online estimator is a calculator that runs on your own device, and a person checks and confirms every price before a job.

Who we share it with

We don’t sell or rent personal information. We share it only as far as needed for the purposes above.

Our crew
The people doing your job, whether our employees or contractors, get your name, phone number, the addresses and the job details.
WhatsApp and Meta
If you message us on WhatsApp, WhatsApp and its owner Meta handle those messages under their own privacy policy.
Phone and email providers
Our mobile carrier carries calls and SMS, and our email provider stores email.
Website hosting and security
Our web host, on a server in Australia, and Cloudflare, which delivers and protects this site, process the technical visit details described above.
Payment providers
Banks and payment services process your payment.
Advisers
Our accountant, tax agent or lawyer when they need our records.
Building managers
Only when you ask us to book a lift, loading dock or parking with them.
When the law requires it
Government agencies, police or courts, when the law requires or authorises it, or to lessen a serious threat to someone’s life, health or safety.

If our business is sold or restructured, personal information may pass to the new owner, who would have to handle it in line with this policy.

Sending information overseas

Some of the services we use store or process information outside Australia:

  • WhatsApp and Meta: the United States and other countries where they operate
  • Cloudflare: data centres around the world, including outside Australia
  • our email provider, Zoho Mail: data centres in the United States
  • our own team: some of the people who handle quotes, bookings and messages for us may view them from outside Australia

We share only what each service needs to do its part. WhatsApp is involved only if you choose to message us there. Each of these providers handles information under its own privacy terms, which you can read on its website.

How we store and protect it

We keep your information on our work phones, in our messaging apps and email account, and in our business records. We take reasonable steps to protect it from misuse, interference and loss, and from unauthorised access, changes or disclosure. This website doesn’t store what you type into it.

How long we keep it

We keep personal information only for as long as we need it for the purposes in this policy, or as long as the law requires. Job, invoice and payment records are kept for 7 years, as tax and company law require. Quote requests that don’t go ahead, photos and videos of your job and website logs are kept only while we need them, and longer only if there’s an open complaint or claim. We keep a record of your marketing consent or unsubscribe request so we can show what you asked for.

When we no longer need information and the law doesn’t require us to keep it, we delete it or remove the details that identify you.

If something goes wrong

If a data breach is likely to cause you serious harm, we’ll tell you as soon as we can and explain what you can do to protect yourself. Where the Notifiable Data Breaches scheme applies to us, we’ll also notify the Office of the Australian Information Commissioner (OAIC).

Seeing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it. Email or call us using the details in who we are.

  • We’ll check it’s you, usually by replying to the phone number or email address we already have. We won’t ask for ID documents unless there’s no other way.
  • We’ll respond within 30 days.
  • There’s no charge to ask or to get access.
  • If we can’t give you access, or we don’t agree that a correction is needed, we’ll tell you why in writing and how to complain. You can ask us to keep a note of your view with the record.

You can also ask us to delete your information. We’ll do it unless we need to keep it for an open job, a complaint or a claim, or because the law requires it, as with tax records.

Website analytics and cookies

This website doesn’t use advertising or tracking cookies, and our own code doesn’t store anything in your browser.

Cloudflare, which protects the site, may set a small number of security cookies to tell people apart from automated traffic. They aren’t used for advertising.

We don’t run website statistics at the moment. If we add them, we’ll use cookie-free statistics that count things like which pages are read and which buttons are pressed, without identifying you or following you to other websites, and we’ll update this policy before we turn them on.

Marketing and unsubscribing

We send offers by SMS, email or WhatsApp only if you’ve agreed to receive them. On our quote form that’s a separate box. It’s never ticked for you, and you can get a quote without ticking it.

  • Every offer says it’s from FixMove and tells you how to unsubscribe.
  • Unsubscribing is free and doesn’t need a login. Use the unsubscribe option in the message, or just tell us.
  • We act on your request within 5 working days, as the Spam Act 2003 (Cth) requires.
  • We don’t buy or sell contact lists, and we don’t cold call or door knock.

Unsubscribing from offers doesn’t stop messages about a job you’ve asked us for, such as your written quote, booking confirmation, updates on the day and your invoice.

Complaints

If you’re unhappy with how we’ve handled your personal information, please tell us first, using the details in who we are. Let us know what happened and what you’d like us to do.

  • We’ll let you know we’ve received your complaint.
  • We’ll look into it and reply in writing within 30 days.

If we haven’t responded within 30 days, or you’re not happy with our response, you may be able to complain to the Office of the Australian Information Commissioner (OAIC). The OAIC deals with complaints about businesses the Privacy Act applies to:

Changes to this policy

We’ll update this policy when the way we handle personal information changes, for example before we add an online form that sends your details to us, or before we turn on website statistics. The date below shows which version you’re reading. Ask us if you’d like an earlier version.
